What does the Questionnaire ask?
The Questionnaire covers everything you need to know to process the accounts of a client. From horticulture to rental properties, from company cars to cryptocurrency investments, there are questions covering everything. You can ensure no stone is left unturned when it comes to saving your clients money.
That sounds like a lot. Surely not all questions are relevant to all clients?
Absolutely. So the Questionnaire is dynamic - it only asks questions relevant to that client. If they say they are not a farmer, then no farming questions appear. This means the Questionnaire is as short as possible without sacrificing quality.
But won't clients end up just filling in the same answers each year?
The Online Client Questionnaire remembers previous questionnaires. So the answers are already filled in with the answers the client gave last time, making a successive Questionnaire even quicker to fill in.
Does the Questionnaire change?
BEANCOUNTER updates the Questionnaire constantly as new IRD rules are put in place. This means you can just sit back and not worry - the Questionnaire is always up-to-date.
How do clients submit source documents?
Once completed, the Online Client Questionnaire generates a checklist of paperwork the client needs to provide, based on the answers they have given. Or, there is also the option for electronic documents to be attached to the Questionnaire - or a mix of both if the client prefers.
I need my clients to give me authority for the IRD. Does the Questionnaire handle that?
Each Questionnaire is accompanied by a Terms of Compilation Engagement for the client to sign. The wording of this is 100% customisable by you, so you can make it specific to your practice and include anything you want to include.
Can my clients sign the Terms of Compilation Engagement electronically?
Yes! You can choose to have clients sign the Terms electronically, which means their signing name is saved along with their user ID, time, date, IP address and browser/user agent details of the individual signing. These details are stored both in the database and also in the Terms of Compilation Engagement PDF itself.
How do I send Questionnaires out?
It couldn't be easier. You simply choose the year, balance month and Questionnaire type (Annual, GST or Interim) you wish to send and the Beancounter system presents you with a list of eligible clients. Select the ones you wish to email the Questionnaire and click a button, job done!
How do I know if a Questionnaire is finished?
Each client can have up to three staff (a Principal, Manager and/or Clerk) associated with them. These staff receive a notification email when the client completes their Questionnaire.
Also, you can check the status of Questionnaires at any time to see what clients have finished, which ones are stuck, or which ones have not started.
Does the Beancounter system have a way of giving those clients who haven't finished a gentle reminder?
Yes - again, it is a simple case of selecting the Questionnaires and clicking a button to send a reminder email - at no cost to you.
I know it is simple to send Questionnaires and reminders, but I just want to send them on the same date every year, is there some automatic way of doing that?
Yes - the Beancounter system includes a scheduler. You can set what date you want to send Questionnaires to which clients, along with a date in the emails as to when you want the Questionnaire and source documents back from the client by AND when to send reminders if necessary. Once set up, that will simply repeat every year with no other interaction required.
I have other services I offer clients, can I remind them of these with the Questionnaire?
Yes - the last section of the Questionnaire is called 'General Questions' where you can choose from a long list of possible extra services to ask the client about.
So what do I need to start?
Just contact us! You will need your logo (to brand the Questionnaires) and a list of clients (a report from your practice management software is fine or, if you use Xero Practice Manager or APS, we have automated integration with those systems). We can get you up and running straight away!
